By booking a retreat with Aromatic Traditions LLC, you (“Guest”) agree to the following Terms and Conditions.

1. Payment & Pricing

· A non-refundable deposit is required to secure your spot on any retreat.

· The remaining balance is due in full by January 1, 2026, unless a payment plan is selected at checkout.

· If the final payment is not received by the deadline, Aromatic Traditions LLC reserves the right to treat the booking as canceled and retain the deposit.

2. Cancellation by Guest

We understand that life happens. Our cancellation policy is designed to be fair to both parties while protecting the viability of our carefully planned retreats.

· All deposits are non-refundable.

· If you cancel your registration on or before January 1, 2026, any payments made beyond your deposit will be refunded.

· If you cancel your registration after January 1, 2026, no refunds will be given.

· Exception: If you cancel after January 1, 2026, and we are able to fill your spot from a waitlist, a full refund, minus your deposit, will be issued.

· We strongly recommend that all guests purchase comprehensive travel insurance to protect their investment against unforeseen personal circumstances, including illness, family emergencies, or travel disruptions.

3. Cancellation by Aromatic Traditions LLC

· Aromatic Traditions LLC reserves the right to cancel any retreat for any reason.

· In the event of cancellation by us, you will be notified immediately and will receive a full refund of all monies paid within 30 business days.

· Aromatic Traditions LLC is not responsible for any additional costs or expenses incurred by you in preparation for the retreat, including but not limited to airfare, travel visas, or other incidental costs. This is why travel insurance is essential.

4. Force Majeure

Neither Aromatic Traditions LLC nor the Guest shall be liable for any failure or delay in performing its obligations under this Agreement where such failure or delay results from any cause beyond its reasonable control. This includes, but is not limited to: acts of God, war, terrorism, fire, flood, earthquake, epidemic, pandemic, government restrictions or regulations, travel bans, or any other cause beyond the reasonable control of the party affected.

In the event of a Force Majeure that causes the cancellation of a retreat, the Cancellation by Aromatic Traditions LLC policy (Section 3) will apply.

5. Travel Insurance Requirement

We require all retreat guests to purchase comprehensive travel insurance. Your policy should, at a minimum, cover trip cancellation, interruption, medical expenses, and evacuation.

By booking this retreat, you acknowledge that you are responsible for purchasing a travel insurance policy that meets your needs and that Aromatic Traditions LLC is not responsible for any losses incurred due to your failure to obtain adequate coverage.

6. Health & Responsibility

· You acknowledge that you are voluntarily participating in all activities during the retreat and assume all risk of injury, illness, or other loss.

· You agree to inform Aromatic Traditions LLC of any physical, mental, or emotional conditions or limitations that may affect your participation.

· You are responsible for your own well-being and safety.

7. Itinerary Changes

· Aromatic Traditions LLC reserves the right to make changes to the retreat itinerary, facilitators, or offerings as necessary. Every effort will be made to provide a comparable experience.
